Before the renewal,
put the pieces together.

A 90-day working checklist for the program, development and finance team.

A strong renewal starts before the writing. The most useful first step is a shared view of what was promised, what happened, what was spent and what the next award should support.

Use the timing below as a planning aid. Your funder's actual guidelines, award terms and deadline take precedence. No email or signup required.

90 DAYS BEFORE / ESTABLISH THE FACTS

Confirm there is an opportunity.

  • Check the funder's current official guidance. Confirm renewal eligibility, invitation requirements, deadline, award range and submission route.
  • Read the existing award and amendments. List reporting dates, remaining obligations, restrictions and the end of the funding period.
  • Name one proposal owner and the people who approve the program, budget and final submission.
  • Ask program leads what should continue, change or stop. Identify decisions that need leadership or board review.

60 DAYS BEFORE / RECONCILE THE STORY

Connect results with the records.

  • Compare the funded activities with the work delivered. Record changes and the approvals or explanations supporting them.
  • Gather the measures the funder actually requested. Distinguish verified results from estimates and describe any data limitations.
  • Reconcile expenditure reports with the ledger and approved budget. Give finance a clear list of variances or unresolved items.
  • Build the next-period budget from staffing, program and shared-cost assumptions. Check that every commitment in the narrative has resources behind it.
  • Gather permitted stories and supporting documents. Use consented, appropriately de-identified material.

30 DAYS BEFORE / MAKE IT REVIEWABLE

Leave time for a real review.

  • Build the draft in the funder's exact format, including character limits, attachments and required certifications.
  • Cross-check amounts, dates, participant counts and promises across the narrative, budget and attachments.
  • Assign a reviewer and due date for each unresolved question. Escalate missing approvals before the deadline becomes urgent.
  • Confirm portal access and the authorized submitter. Preserve the final package and the actual submission receipt.
  • Record the expected decision, follow-up date and reporting obligations. A submission is not an award.

THE 20-MINUTE TEAM CHECK

Four questions to leave with.

  1. What is the next real deadline?
  2. Which fact, number or approval is still missing?
  3. Who owns it, and when will it be ready?
  4. What will we pause if the team does not have capacity?
